These Terms and Conditions apply to any tours booked with Vilima Adventure Tours, a local family-owned Tours and Travel Company based in Moshi, Tanzania.
These Terms & Conditions govern the contractual relationship between Vilima Adventure Tours and yourself. Please read these Terms and Conditions carefully.
By booking any tour with Vilima Adventure Tours, you acknowledge that you have read and understood these Terms and Conditions, and you accept and agree to be bound by them.
If you have confirmed a booking for any tour with more than one client named and booked on such a reservation, you shall be deemed to have accepted these Terms and Conditions on behalf of all clients named in the booking, including minors and those with disabilities.
Therefore, all clients in that group indicate their acceptance and agreement to these Terms and Conditions. The client who confirmed the booking is considered the selected contact person for all other clients named in that booking.
Your booking request must be made in writing, and a 15% deposit is required. The balance must be paid upon arrival. All payments should be free from bank charges..
A client may cancel their booking by notifying Vilima Adventure Tours.
The applicable cancellation fees shall be determined with reference to the date on which the request to cancel is received by Vilima Adventure Tours and are expressed hereinafter as a percentage of the total price paid for the canceled tour.
(a) Within 24 hrs: 50% will be charged from the client’s deposit.
(b) Tailor-made tours may be subject to alternative cancellation terms, which will be communicated to applicable clients at the time of booking.
All nationals will require a visa for TANZANIA. We recommend that where possible clients should attain their visas in advance, although they are available upon arrival in TANZANIA at the Airport.
All clients are obligated to truthfully provide the requested relevant medical information to us to book their tour. Clients are responsible for assessing their own suitability and capability to participate in a tour with us.
All clients should consult their physician regarding their fitness for taking part in the booked tour.
Vilima Adventure Tours recommends all clients seek their physician’s advice regarding necessary or advisable vaccinations, medical precautions, or other medical concerns regarding the entirety of the client’s travel.

The climate is hot and sometimes humid. From December to March, when the northeast monsoon blows, it is hot and humid. In April and May, heavy rains occur with June to October being the coolest and driest period. The lesser rains fall in November.
The temperature sways between 25°C and 35°C, and annual rainfall is about 20mm.
Driver/guide will stop at the shop/curios stall recommended by Vilima Adventure Tours.

Vilima Adventure Tours will strive to accommodate the special requests of clients, including (without limitation) dietary and accommodation requests.
Vilima Adventure Tours makes arrangements with accommodation providers, activity providers, airlines, coach companies, transfer operators, shore excursion operators, tour and local guides, and other independent parties (“Third Party Suppliers”) to provide you with the travel services and other services you purchase or which form the component parts of your product Tour.
Third-Party Suppliers may also engage the services of local operators and/or sub-contractors for the provision of travel services that form part of the tour(s). Although Vilima Adventure Tours takes all reasonable care in selecting Third-Party Suppliers, Vilima Adventure Tours is unable to control Third-Party Suppliers and does not supervise Third-Party Suppliers and therefore cannot be responsible for their acts or omissions.
The travel services and other services provided are subject to the conditions imposed by these suppliers, and their liability is limited by their tariffs, conditions of carriage, tickets, vouchers, and international conventions and agreements that govern the provision of their services. These may limit or exclude the liability of the supplier.
Clients acknowledge that Third-Party Suppliers operate in compliance with the applicable laws of Tanzania, and Vilima Adventure Tours does not warrant that any Third-Party Supplier is in compliance with the laws of the client’s country of residence or any other jurisdiction.
Vilima Adventure Tours acts as an agent for hotels, transportation services, and facilities provided by other parties, firms, or corporations and cannot be held responsible for delays, injury, damage or accident, or change of itineraries which may occur through the negligence of the client.
Clients are advised to take precautions against malaria prior to the commencement of their holiday. We recommend contacting a pharmacist for advice as to which prophylactic is recommended.
The company accepts no liability or compensation with respect to delays or lack of performance affected by force majeure. Force majeure means any event which the company has no control over, and even in circumstances where all due care was taken, the event could not have been avoided or foreseen.
This includes events such as war/threat of war, riot, civil disturbance, terrorist activity, industrial dispute, natural disasters, adverse weather conditions, fire, and all similar events outside the company’s control.
You are strongly advised to take adequate insurance against all risks for an adequate sum.
The company’s contract will be governed by and construed in accordance with the laws of Tanzania. Accordingly, each party irrevocably submits to the jurisdiction of the Tanzanian courts to settle any matter arising under this contract.
A 20% – 30% down payment is required to secure a booking, in accordance with the company policy. This deposit will be applied toward the total trip cost.
If the full payment is not received at least 30 days prior to departure, the company reserves the right to cancel the booking, and the deposit will be forfeited.
For bookings made within 30 days of departure, full payment is required immediately to confirm the reservation.
Payments can be made via bank transfer or online payment using MasterCard or Visa, within 30 days prior to the tour, or in cash (USD) upon arrival. Please note that US dollar bills printed before 2001 are not accepted in Tanzania. Bank transfer details will be provided upon request.
Clients are responsible for all bank charges, including any transaction fees imposed by their bank or intermediary banks.
Our bank does not charge for receiving wire transfers, but your bank may charge between $35 – $50. Please ensure that the full amount on your invoice reflects in our account. Should any fees be deducted, we will issue an additional invoice to cover the shortfall.
Payment can be made through our online payment system using credit card at a surcharge of 3.5%.
